Cataloging "On Demand" Reproductions

Introduction

This is intended to cover the cataloging of "on demand" reproductions. These are reproductions (print, microform, etc.) reproduced when a title is ordered. Many are done by University Microfilms or UMI Dissertation Services.

When a reproduction is cataloged, the cataloger must use a record for the correct form of reproduction (print, microform, etc.). A record for the original or another format reproduction is not considered a matching record. For example, a record for a microfiche reproduction of a dissertation cannot be used to catalog a photocopy of the same thesis.

A reproduction is cataloged in terms of the original, with notes added to describe the reproduction. The 260 and 300 fields will describe the original publication. Field 533 and Form of Item in the 008 field will describe the reproduction.



Fields that match the ORIGINAL publication

The following fields should be verified/edited to match the original publication:

  1. 260 field
  2. 300 field
  3. all fixed fields (with the exception of Form of Item, which is coded to match the reproduction)

Fields that match the REPRODUCTION

The following fields should be verified/edited to match the reproduction

  1. 533 field - contains information related to the reproduction, such as the type of reproduction, reproducing agency, etc. In some older records, this information may be in a 500 field. If this is the case, change to a 533 field and code the subfields as indicated in the table below.

    |a Type of reproduction (photocopy, microfiche, microfilm, etc.)
    |b Place of reproduction
    |c Reproducing agency
    |d Date of reproduction (can be changed, if needed, if the date of reproduction on the libraries' copy is different than the bib record)
    |e Size, usually recorded as simply the dimensions (can be changed, if needed, if the size of the libraries' copy is different than the bib record)

  2. Form of item in 008 field - code for the reproduction, not for the original. Below are some commonly used codes. For others, see OCLC's Bibliographic Format and Standards.

    a Microfilm
    b Microfiche
    c Microopaque (microcard)
    r Regular print (photocopy)

Date in call number

This should be publication date of the original, followed by a work letter a to indicate that it is a facsimile reproduction.


Dissertations and theses

Many on-demand reproductions are photocopies or microform copies of theses and dissertations done at other institutions. These are cataloged as manuscripts, rather than published items. In addition to the fields described above, the cataloger will also need to verify/edit the following fields:

  1. 502 field -- should contain the type of report (disseration, thesis, or report), the type of degree earned, the institution where the degree was earned, and the year the degree was earned.

  2. 260 field -- should contain only the date that the dissertation/thesis was produced.

  3. Ctry in 008 field -- should be xx (No place of publication)

  4. Contents in 008 field -- contents field should contain m (Theses)

  5. Type of record in Leader -- should be t (Manuscript language material)
