Guidelines for Cataloging Literature

Purpose: To ensure literary works and/or critical analyses about an author's literary work(s) are classed together for items with member copy. This procedure only applies to member and problem copy: call numbers in DLC and CIP records are accepted without question.

Performed by: Copy cataloging team.



  • Search Voyager (using Staff Name Headings search) for name authority record

    1. No authority record found.

      1. Proceed to step II.

    2. Authority record found.

      1. Verify the form of the name on the bibliographic record.

      2. Verify the classification numbers.

        NOTE: The classification numbers on the authority record are located in either the 053 or 093 field.

        1. No classification number on authority record.

          1. Proceed to step II.

        2. One classification number (or range of classification numbers) found on authority record.

          1. When the classifciation number on the bibliographic record does not match (or does not fall within the range on) the authority record, route the item with a printout to the Problem Copy shelf. Circle the call number on the printout and make a note that the call number doesn't match the authority record.

          2. When the classification number on the bibliographic record varies only sightly from the number on the authority record, change the classification number found on the bib. record to match the call number on the authority record. This call number will be entered in the holdings record, not the bib record.

            EXAMPLE:
            PT2678.O75 U54 1998 is the call number in the 090 of the bib. record.
            PT2678.O755 is the classification number in the authority record.
            Change the classification number in the holdings record to match the classification number in the authority record.

          3. When the classification number on the bibliographic record matches (or falls within the range on) the authority record, finish cataloging the item in hand.

            EXAMPLE:
            PR6035.E4 O37 1997 is the call number in the 090 of the bib. record.
            PR6035.E4 is the 053 of the name authority record.
            They match. Finish cataloging the item in hand.

        3. Two classification numbers on authority record.

          1. When one classification number on the bibliographic record matches ONE of the classification numbers, finish cataloging the item in hand.

          2. When one classification number on the bibliographic record does not match EITHER of the classification numbers, route the item with a printout to the Problem Copy shelf. Circle the call number on the printout and make a note that the call number doesn't match the authority record.

  • If no name authority record is found, do a staff name search on Voyager for other bibliographic records.

    1. No bibliographic record(s) with author in either the 100 or 600 field found.

      1. Accept the call number on the bibliographic record for the item in hand.

    2. Other bibliographic record(s)with author in either the 100 or 600 field found.

      1. Scan the record(s).

        NOTE:
        Skip the record(s) where the author is one of two (or more) working together collaboratively.
        Skip the record(s) by the author that are not considered literature.
        Skip any record(s) that use a call number of PZ1 through PZ4. These call numbers are no longer used by K-State Libraries.

        1. Accept the call number for the item in hand if:

          1. The call number matches those found online (i.e., the author is assigned only a single classification number); or

          2. The call number falls within a range of call numbers for those items online (i.e., the author is assigned a range of classification numbers).

        2. Route to the problem copy shelf if:

          1. The call number for the item in hand does not match or fall within the range of numbers used for items online;

          2. There is no consistent use of the classification number(s) for those items online.

            Note: Make a note on the printout that the call number in the bib record doesn't match the call numbers in the shelflist.
