Copy Cataloging of LPs

Purpose: To provide guidelines for cataloging LPs with OCLC copy.

Performed by: Designated copy cataloger.



Before Cataloging the LP:

  • Search Voyager to check if LP is a duplicate of a title already owned by KSUL:
    • Verify that any bib. record found matches the LP (check 245-5xx fields).
    • If LP is a duplicate, do not add as added copy; send to Humanities Reference Librarian for condition comparison with existing copy (may elect to swap if gift is obviously in better condition). If the gift LP is a stereo version of a mono. recording owned by KSUL, add the stereo LP to the collection (requires separate bib. record). If the gift LP is a mono. version of a stereo recording owned by KSUL, do not add the mono. recording to the collection.
    • If LP is not a duplicate, search OCLC for a matching record if needed (older gift LPs have in process records already on Voyager).

  • Identify chief source:
    The first step in cataloging any item is to identify the “chief source of information” on which the description of the item is based. The preferred chief source of information for LPs is the disc itself. Accompanying textual material or a container is treated as the chief source if it furnishes a collective title and the disc itself does not. (“Collective title” = a title proper that is an inclusive title for an item containing several works.) In AACR2 cataloging, the name of a performer, if presented prominently, may be considered to be the collective title of the sound recording. If information is not available from the chief source, it is taken from the following sources, in this order:
    • accompanying textual material
    • container (record jacket or slipcase)
    • other sources
    If one of these “substitute” chief sources of information is used, there should be a 500 note describing what was used as the chief source.
    Examples:
    500 |a Title from container.
    500 |a Title from accompanying booklet.

Editing Fixed Fields:

Note:All fixed field elements must be checked and edited according to cataloging procedures. The following fixed field elements must be added or edited for correct display of information in OPAC:

Leader

  • Status– Do not change
  • Type– should be “j” (if “i”, check with Humanities Cataloger)
  • Bib/l– should be “m”
  • Enc/l– do not change
  • Form– do not change
006 Do not add/check/delete
007 Check/edit all elements of “Sound recording” tab. Coding is similar to that for CDs, but with a few differences. Typical values for LPs:
  • Speed
    • “b” (33 1/3 rpm, standard for LPs)
    • “d” (78 rpm, speed for most pre-LP “shellac” discs)
  • Groove Width/Groove Pitch
    • “m” (microgroove/fine, normal groove width for 33 1/3 rpm)
    • “s” (coarse/standard, normal groove width for 78 rpm)
  • Dimensions
    • “c” (7 in.)
    • “d” (10 in.)
    • “e” (12 in.)
  • Playback Characteristics
    • Codes unlikely to be appropriate for LPs.
    • Do not use “e” (digital recording) for LPs (analog discs).
    • Digital equipment may have been used during recording, but is not necessary for playback.
  • Capture & Storage Technique
    • “e” (analog electrical storage, typical late 1940s to early 1980s)
008 Edit all elements of 008 to match piece and related variable fields.

Editing Variable Fields:

Note: Punctuation varies, depending on cataloging rules in vogue at the time each record was created. Do not modify pre-AARC2 records to look like AARC2 ones.

Other Standard Identifier: The Intenational Standard Music Numer (ISMN), appearing on more recent items, may be found in the 024 field (1st indicator 2; 2nd indicator blank). The ISMN consists of the letter M, followed by eight numbers (representing the publisher identifier and an item no.) an a check digit. It usually appears on items preceded by "ISMN" and with each functional part separated by a hyphen or space.

Example: 024 2  |a M571100511 (ISMN entered without hyphens or space).

028

Music publisher no. (MPN) is found typically in the 028 field in AACR2 records. (In pre-AACR2 records, the MPN is found typically in the 262 field.) The first indicator identifies the type of MPN; the second indicator controls generation of MPN note and/or added entry (in OCLC only a first 028 with a printing second indicator will generate a note; 2nd indicator value is currently non-functional in Voyager)

  1st indicator: 0 Issue no. (Label no. given by manufacturer to sound recording or set of sound recordings
    1 Matrix no. ( Used in absence of issue no.; etched in disc between inner grooves & label
  2nd indicator: Use either 0 (no note, no added entry) or 2 (note, no added entry).
    Do not use values 1 or 3; KSU does not make added entries for music publisher nos.

1XX, 245 Main Entry:

  Main entry may be under personal name (composer or individual principal performer), corporate body (principal performing group), or title main entry. Check for typographical errors, errors in tagging, or other obvious mistakes. The "author" in the 1XX field may be reflected in the 245 |c or 511.
240 If the main entry represents a composer, a uniform title may also be present between the 100 and 245 fields. First indicator should be 1; 2nd indicator, representing the number of non-filing characters, should be calculated correctly. Delete any brackets enclosing the 240 data; also delete any ending period, unless it follows an abbreviation or initialism. In Pre-AACR2 records, the general material designation (GMD) is placed in |h at the end of the 240 field. (In AACR2 records, the GMD is located in 245 |h.) Example:
  240 01 |a Parsifal. |l German. |h Sound recording {pre-AARC2; note punctuation and capitalization}
245 Title and Statement of Responsibility: The wording of the 245 |a, |b and |c should match that found in the chief source or chief source substitute; punctuation and capitalization may differ.
  Placement of the GMD varies, depending on cataloging rules in vogue at the time the record was created:
    AACR2: 245 |h usually located after title proper ( |a, |n, and |p) and before remainder of title (|b), subsequent titles (in items lacking a collective title), and/or statement of responsibility (|c). Location of |h in non-collective titles has varied, see examples below. Be sure GMD in 245 |h is enclosed in square brackets.
    Pre-AACR2: GMD located in 240 |h; should not have to be enclosed in brackets.
    Examples: 245 10  |a Cree songs to the new born |h [sound recording] : |b soprano and chamber ensemble

  Statement of responsibility (245 |c): persons or bodies named here should be those chiefly responsible for the intellectual/artistic content of the work (composers and librettists; performers generally belong in the 511 field, instead of the 245 |c, but those that go beyond mere performance, execution, or interpretation, as is commonly the case with "popular," rock, and jazz music) are appropriate in 245 |c).

AACR2 Imprint

 

The AACR2 rules for recording the place and name of publisher are generally the same for sound recordings as they are for books.

    Examples:

260 |a New York : |b Sunflower ; |a London : |b Virgin Records, [distributor] ...

      260 |a London : |b EMI ; |a New York : |b Distributed by Collon Records ...
  If the LP bears both the name of the publishing company and the name of a subdivision of that company or a trade name or brand name used by that company, give the name of the subdivision or the trade name
    Example: 260 |a [London] : |b Ace of Diamonds ... (Source reads: Decca Record Company. Ace of Diamonds)
  Sometimes a series looks much like a subdivision of a record company name. If in doubt, search for a series authority record and/or ask the Humanities Cataloger for assistance
  Date of publication (260 |c): There can be a number of dates on the LP, including a phonogram date (e.g., p1976), a copyright date (for the sound recording and/or for the printed material), a release date, and/or a recording date, but the the preferred date to appear in the 260 |c is the phonogram date.

Pre-AARC2 Imprint

 

The place of publication is only provided when the publisher is not known as a record publisher. More typically field 262 gives the trade name of the publisher, the music publisher no., and date.

    Examples: 262 |b Telefunken |c SLT 43091 |d [1966]     [Publisher is known as record publisher]
      262 |a [Louisville, Ky., |b Louisville Orchestra, |d 1967] |c LS 671    [Publisher is not known as a record publisher; note when 262 imprint has publishers' place and name, the music publisher no. follows the date]

AACR2 Physical Description

  Extent of item (|a)
  Record the number of physical units by giving the number in arabic numerals followed by the term "sound disc". This is followed by the total playing time as it is stated in the item.
    Examples: 2 sound discs (1 hr., 30 min.)
      1 sound disc (78 min.)
      1 sound disc (52:12)
  Many times the duration is seen in other parts of the OCLC record, like a contents note or a separate durations note. Do not edit, accept as is. Also accept the durations given, do not listen to the item to check durations.
  Other physical details (|b)
 

Give any other physical details in the following order:

    Type of recording (pertains to playback method): for LPs, use "analog"
    Playing speed (for analog discs, in revolutions per minute)
    Groove characteristics (for analog discs, indicate only when non-standard for speed (for instance, 33 1/3 rpm analog discs are assumed to be "microgroove")
    Number of sound channels (mono., stereo., quad; if not stated on piece, don't guess)
    Recording and reproduction characteristics (stated only when info. is necessary to select special playback equipment in order to get the full effect of the audio; not particularly pertinent with LPs)
    Example: 1 sound disc (56 min) : |b analog, 33 1/3 rpm, stereo. ; |c ... [An LP made from an analog original]
      300 1 sound disc (45 min.) : |b analog, 33 1/3 rpm ; |c ... [An LP made from a digital original]
      500 Digital recording.
  Dimensions (|c)
 

Most LPs are 12 in., although size may vary

 

Accompanying material (|e)

  Details of accompanying material may be given in the 300 |e, but are more likely stated in 500 note. Either location is acceptable. If 300 |e is used, punctuation preceding or following the subfield varies with cataloging codes (AACR2: _+_ precedes |e; pre-AACR2: usually & after |e).
305 Pre-AACR2 Physical Description
  Extent is stated in terms of "discs" or "sides". Groove characteristics may be stated even when standard for speed.
    Examples: 305 |a 2 s. |c 33 1/3 rpm. |e mono. |b 12 in. [extent: 2 s. = 2 sides, i.e., 1 disc]
      305 |a 1 disc. |b 78 rpm. stereo. |c 12 in.
5XX Notes
  There are a number of notes that are necessary for LPs. They are often presented in the order given below. For help in formulating notes, the book, Notes for Catalogers, by Salinger and Zagon is very helpful.
  Publisher or number note (see _____ for this)
  Nature or artistic form and medium of performance.
  Make a note concerning the type of musical work unless it is apparent from the rest of the description.
    Examples: Title: Symphony in G          No note needed
      Title: The man who mistook his wife for a hat : chamber opera.         No note needed.
      Title: Le Roi Arthus.          500 Opera in 3 acts and 6 tableaux.
  Language of the spoken or sung content of the recording
  (IF easily discernable) unless it is apparent from the rest of the description.
    Examples: Title: Brockes Passion.      Sung in German.
     

Title: I vespri siciliani          No note needed. Title is in Italian and opera is sung in Italian, so it is appartent from the rest of the description.

  Source of the title proper and varient titles.
  If the title being used in the 245 is not found on the disc itself (chief source), but is found on the accompanying material, the container or some other source, a note is needed.
    Examples: Title from container.
      Title from accompanying booklet.
      Title from container spine.
      Title from insert.
  Similarly, if the title in the 245 is from the chief source, but there is a variant title--that applies to the entire piece--found elsewhere on the item, the variant title should be recorded. In current cataloging, the variant title is given in the 246; in older cataloging records, in 500/740.
    Examples:

    NOTE: Generic titles (or uniform titles that consist only of a type of composition) are not given tracings. See Appendix A for a list of generic titles.
  Statements of responsibility (511 or 500)
  A 511 statement of responsibility note contains names of performers and the medium in which they perform (if not already named in the 245 |c) if they are important.
    Examples: 511    E. Power Biggs, organ.
      511    Jaki Byrd, piano and alto sax ; Ron Carter, bass ; Roy Haynes, drums (1st-8th works) ; Pete LaRoca, drums (9th-16th works).
     

511    Philadelphia Orchestra ; Eugene Ormandy, conductor.

  A 500 statement of responsibility note contains notes relating to any other person or bodies connected with a work that are not named in the statement of responsibility.
    Example:

Title: Salinger's Eine Kleine Nacht Musik on the synthesizer.

      500    Based on music by Mozart.
  Edition and history (518 or 500)
  This note contains information relating to the edition being described, the edition of the work performed (KSU doesn't add or delete this) or the history of the recording.
   
 

Use the 518 field when recording the date/time and place of the event.

    Examples: 518    Recorded at Variety Sound, New York, N.Y.
      518    Recorded in the Paris Conservatoire, Apr. 1-3, 1980.
      518    Recorded in Vienna in 1971; previously released as Westminster WST 1444. (Note combines history of recording and edition information. Use 518 in this case.)
 

Be sure to refer to "Date Type" in section IV below when using a 518 note.

   
 

Use a 500 note when recording information relating to the edition being described or the edition of the work performed.

    Example: 500    Reissue of: RCA Read Seal ACA 1343.
  Publication, distribution.
    Example: 500    Distributor from label on container.
  Physical description.
 

Make notes on important physical details that are not included in the 300 field, especially if they affect the use of the item.

    Examples: Durations on label.
      Durations: 52:12, 13:15, 16:01.
      (For LPs with several works listed in 245 for which durations are provided). If many, use "Durations on label" instead.
  Accompanying material.
    Examples:

Program notes by the composer in English and French in container.

      Program notes by John sordi and libretto in container.
      Program and biographical notes in container.
  Other formats.
  Some bibliographic records for LPs will contain information concerning other formats in which the content of the item has been issued. KSU DOES NOT RECORD THIS INFORMATION. DELETE IT. ALSO DELETE ANY CORRESPONDING 028 FIELDS.
    Example: Issued also as a cassette: CR 145.
  Contents.
  Edit or add this field if information is available. May contain statements of responsibility, durations, etc.
    Examples: 505 0 You are the woman – Just remember I love you – Strange way – Cinderella – Staying with it ...
      505 0 Hoedown (3:44) – Lucky man (4:36) – Karn Evil 9 (4:45) – Peter Gunn (3:30) ...
      505 0 Louise. Depuis le jour / Charpentier (Mary Garden, soprano, with orchestra) – Tosca. Vissi D'arte / Puccini (Maria Jeritza, soprano with piano).
      In the above example, we see: Opera. Aria / composer (performer). A lot of information is given in this example. The "Opera. Aria" is an example of Full title. Part title.
6XX Subject Headings
  Check the record to see if there is at least one LC subject heading (6XX with 2nd indicator "0") provided. If no LC subject headings are provided, pass LP and a printout of bib. record to Humanities Cataloger, who will supply 6XX and return to cataloger to complete cataloging.
7XX Added Entries
  Check for typographical errors, errors in tagging, or other obvious mistakes. Typically added entries are provided for the major performers (persons or bodies), conductors, analytical (author/title; 700 with 2nd indicator 2) added entries representing selections included on the sound recording, and titles of individual selections provided they are distinctive/non-generic (740 field). Author/title added entries may also be present that represent the work a composition is based upon (700 with 2nd indicator 1). Fields 700 and 710 may end in |4 relator code such as "prf" (performer) or "cnd" (conductor).
  Delete "|h [sound recording]" found in any 7XX field.
   
Holdings Record:
  007: Code general (s) and specific (d) material designation elements of the "Sound recording" tab.
  008: Follow guidelines provided in "Coding the Fixed Field in Monographic Holdings Records."
  852: Use 1st indicator 8 (Other classification scheme). Input call number in a single |h. For the record label portion of the call number, follow the form provided in Appendix 6 of the Dept. Manual, however, do not hyphenate names that must be broken to fit on a call number label. Add |k PHONODISC as last element of 852.
 

866: Add holdings information, if item is multi-part.

Item Record:
  Use item type sound rec. If multi-part, fill in piece count (do not include container in count) and mark for Circulation Review. Fill in item note, if needed.
