Checklist for Monograph Copy Cataloging

Introduction

The following is intended to be a checklist only. For additional instructions on completing any of the following steps, please see the appropriate routine in the Technical Services manual.

  • MARC validation should be ON
  • Authority validation should be on for Title and Name/Title


Bibliographic records

  • Make sure bib record is not suppressed
  • Edit bib record according to appropriate guidelines
  • Check for LC call no. and at least one LC subject heading (6XX with second indicator of 0)
  • Add 948 field
  • Shelf list call number (member and problem copy items)
  • If item has not already had holdings set on OCLC, write down OCLC number and first few words of title for update basket

Holdings records

  • Check leader and 008 values
  • Add/check 007 values for non-print items
  • Use (Ctrl) N to paste call number into 852 field
  • Check 1st indicator of 852 field (should be 0 for LC call numbers, 8 for other call numbers)
  • Check 2nd indicator of 852 field (should be 0 for single items and 1 for multiple items)
  • Verify that location is correct in ‡b of 852 field
  • Check subfield tags for call number (class number in ‡h, cutter and date in ‡i, other call numbers are in ‡h only)
  • Add ‡k, if necessary
  • Add 866 field(s) for multi-volume set

Item records

  • Add barcode to record
  • Check item type and change, if necessary
  • Add enumeration if multi-volume set
  • Add copy number if other than copy 1
  • Change pieces count if needed.
  • If bind after 1st circ, add note and Circ Review

Physical processing

Note: Does not apply to Special Collections items or non-book items.
  • Write call number in book
  • Mark title page for binding (paperback serials and music scores only)
  • Insert appropriate flyers (Send to New Resources Shelves, Binding, Preservation, etc.)
  • Leave bookjackets and flyers in items going to branch locations
