Creating Item Records on Voyager


Item Records for Serials.

Items are created and linked for serials or bound periodicals. Unbound periodical issues are NOT linked. (See Physical processing for current issues.)

  1. Affix an OCR/barcode to each item being linked according to "OCR Labelling" document (Sect. G3)

  2. With the bibliographic and holdings record active, create an item record by supplying location and type codes (and temp. codes, if applicable) based on information provided on accompanying flyers and from the item in hand:

    Click on "Create Item" to retrieve the item template.

     
     
     
     

    • Location will default to that of the holdings record
    • Barcode
      • Wand in the OCR
    • Perm. Loc.:
      • Type "p" for "per" or, "m" for "main", which will highlight those locations
        or, open the scroll box to see a list of possible locations.
        NOTE: Session defaults can be set (under Options/Session defaults and preferences/cataloging options) to automatically pull up the Perm. Loc. and Item Type.
    • Item Type: (i.e., the loan code)
      • Serials in circulating locations: book/ser
      • Serials in non-circulating locations: no loan
      • Periodicals (pre- 1960): book/ser
      • Periodicals (1959/1960 or 1960-  ): per

    SERIALS

    • Enum: and Chron:
      • Serials that include volume (or part or number) and year:
        EXAMPLE 1:
          Enum.: v.5 (vol. numbering is consecutive)
          Chron.:1995

        EXAMPLE 2:

          Enum.:  
          Chron.: 1995:v.1 (annual, published in more than 1 volume per year; vol. numbers repeat each year)

        EXAMPLE 3:

          Enum.: pt.8
          Chron.:1995/1996(annual covers multi-year span)

        EXAMPLE 4:

          Enum.: 27th-28th
          Chron.: 1995-1996(annual, published one volume per year, 2 vols. bound together)

        EXAMPLE 5:

          Enum.: v.10:pt.3 (annual published in multiple pieces, each piece bound separately)
          Chron.: 1994

        EXAMPLE 6:

          Enum.: v.5
          Chron.:: 1994:Index (use only when the Index is bound separately; do NOT use when Index is bound with the serial)

      • Serials with year designation only:
          Enum.: BLANK
          Chron:
            EXAMPLE 1: 1990
            EXAMPLE 2: 1995/1996 (annual covers multi-year span)
            EXAMPLE 3: 1995-1996 (annual, published one volume per year, 2 vols. bound together)
            EXAMPLE 4: 1994:Index (use only when the Index is bound separately; do NOT use when Index is bound with the serial)

          Chron.: 1994:Index (use only when the Index is bound separately; do NOT use when Index is bound with the serial

        EXAMPLE 7 Incomplete Periodicals:

          Enum.: v.2,Inc.
          Chron.: 1998
          [Notes field]: missing nos.3-4

        EXAMPLE 8 Incomplete Periodicals:

          Enum.: v.2-v.4,Inc.
          Chron.: 1996-1998
          [Notes field]: missing v.3:no.3-4

        EXAMPLE 9 Incomplete Periodicals:

          Enum.: BLANK
          Chron.: 2004-2005, Inc.
          [Notes field]: missing 2004:Mar./Apr., Sept./Oct.

        Example of an item record for a periodical:

        Copy:

          Default is "0."
          NOTE: *Exception to coding "copy": when receiving 2 copies simultaneously, code the item copy to "1" for the first copy, "2" for the second copy. If receiving a second copy for the same location when one has already been processed, change the original copy "0" to "1" and code the new receipt as copy "2."

    With item records complete, continue to Physical processing.
