Preparing Old Materials from the stacks for Rebinding
Older materials from the stacks and branches are sent to the binding
unit for evaluation and rebinding. Each item will need to be looked
at individualy and marked for the bindery. Fill a shelf on a book truck
and take to a computer to work.
Look up item on computer by call number. (This allows you
to find both complete records and brief records.) If you do not
find by call number search by title.
Using the 245 marc tag place slash marks at the beginning and
end of the title. Use only what is in the subfield "a" unless
there is subfield "n" (number) or "p" (part). These are the only
2 subfields that are included in the binding title.
Mark the author with .. under the first letter of the last
name. This comes from the 1xx marc tags. (There is not always
an author. )
Check that the call number on the page following the title
page matches the call number on the record. (If they are different
take book to the Database Maintanance Team.)
Check that location on record and in the book match. (If
they are different take book to the Database Maintanance Team.)
If the call number and location are not in the format of location
then call number or if they are right at the edge of the page erase
and rewrite. (This makes sure bindery puts in call number in the
correct format and nothing is trimmed off in the binding process.
Add a new piggyback barcode on the top right side of the
page. Link to the item record.
Sorting books for shipments
Some books may need pages copied if they are torn or damaged. Endsheets
that have maps or graphs not found in the book or in an easy search
of other books, should be copied and the pages placed inside the
book. Material found only on the covers may need to be copied. Watch
for giftplates that need to be copied.
Books with pages that do not pass the brittle books fold
test should be sent to the review room as possible archival
enclosure material. Charge these to the "Review Room-Preservation
Assessment" Patron (PID D021890371) before moving them.
Paperback books can be sorted like new paperbacks. There
may not be as many that can be digicovered. Old and new materials
can be mixed in shipments.
Music should be sent in a music shipment. Old and new
materials can be mixed in shipments.
Periodicals must be sent as a periodical shipment. If
the problem was caused by something the bindery did, send as a
correction, otherwise it can be added to any periodical shipment.
Special instructions should detail what is needed. (i.e. recase,
rebind, loose pages, etc.)
Hardback books can be sorted like new paperbacks, with
a few exceptions. They all will be custom books and need
a ticket. If there are no special instructions, type in rebind.
There may be several recase's. Watch for missing pages that should
be replaced before binding.
Each shipment should be treated the same as any other, charged
and sent to the bindery. These are checked in like all other shipments.
